TIP: If you are going to delete a User, navigate to the User's People tab and make sure that any work that User has been assigned has been passed/assigned to another User. Also, if there is another employee who is going to be hired to replace the User who is no longer in your organization, print, then delete the Individual Dialogs for the User leaving (if applicable). These Dialogs are available on Archives, but won’t print the Dialog report. Also, replace the email address with a "nonsense" email like 1234@example.co (that way the User can't get a new password or login). You can also change the first name and last name to "TBA" and change the login. If none of this is applicable, then go ahead and delete the User. All Dialogs, all User’s name attached to projects, connected metrics, all Basic Role Tasks as well as Personal Tasks will be deleted.
Adding Users
Click on Individuals from the list on the right. Click on the Add symbol to add a User, and the add edit view opens. In the prefix field, type Mr., Ms., etc.
First Name, Last Name: Type in first and last name.
Account: Use the drop down to select User or Admin. Use their email address as the user Account name!
Email: Type in the business email for the User.
Password: It is highly recommended that a password is not created for Users (this password can be changed the first time Users log in.) when the User clicks "forgot your password" at the login screen, the User will get a temporary password. Then the User can change their password when they login to Connections.
User Defined Fields: are named in the Key Word section of the Site Page. For example, Office Phone, Cell Phone, etc.
Org/Dept: Select the org or department for which the User is a member from the dropdown list. (A department will not appear until a Department Tab has already been set up.)
Title: enter User's title
Reports To: Select the name of the person that the User directly "Reports To". Click the Insert button when finished. TIP: start at the "top" of the Org chart, in other words, add the highest ranking User first.
The Administrator can export the User List to sort using the Export to Excel report found in the upper right corner of the module.
The Administrator can use the "funnel" icon to enter the first or last name user name etc. to sort the module for specific people the Administrator is searching for.
